Workflow activity, failures and retries

See every time a workflow ran, find out why an action failed, and try again from where it stopped.

Updated October 22, 2026 · 3 min read

Each workflow keeps a log of every run, action by action. When something goes wrong, the log says what happened, and you can try again from the action that failed.

See a workflow's activity

  1. Open the workflow from Workflows.
  2. At the top, click Activity.
  3. Click a run to see each action and how it went.

Each run shows who it was for, when it started, and its status:

Status Meaning
Starting soon Queued to run.
In progress Running now.
Waiting Paused at a Wait or Wait for approval, or about to try an action again.
Done Every action finished.
Failed An action failed and the workflow stopped there.
Stopped Someone stopped it by hand.

Runs from Test it are marked Test. Inside a run, each action shows Done, Skipped, Waiting, Will try again, Failed or Not reached, with the error or note in plain words. For an If / Else, it says which path the run took. Details (advanced) shows what an app sent back.

The page refreshes itself while a run is in progress. Click Refresh to check now.

Try again after a failure

  1. Open the run that says Failed.
  2. Read the error under the action that failed and fix the cause, for example reconnect the app or fix an email address.
  3. Click Try again from where it stopped.

Actions that already worked aren't repeated. To cancel a run that's waiting or about to start, click Stop it.

Good to know

  • OneForm retries on its own first. When an app is down, slow or busy, OneForm tries the action again a few times, waiting longer each time. You'll see Will try again and the time of the next try. Only when those tries run out does the run fail.
  • You're told when a workflow stops. The people on your alert list get a Workflow stopped email, and it shows in your notifications. You get at most one email per workflow every few hours, and it says if other runs stopped too. Test runs never send it. Set the alert list in Settings → Emails.
  • Keep going past a failure. Turn on Keep going if this action fails for actions that shouldn't hold up the rest, such as a Slack message. The failure is still logged.
  • The Workflows page shows trouble at a glance. Each workflow says how many times it ran this week and how many didn't finish.
  • Only owners and admins can try again or stop a run. Everyone can see the activity.

Why did an action say "Skipped"?

  • It's turned off. Skip this action is on in its settings, so the log says "skipped (turned off)".
  • It needs a report and there isn't one. Actions like Email the report (PDF) skip when the form has no report.
  • Your plan no longer includes it. After a plan change, Send to another app (advanced) is skipped, with an Upgrade link in the log. An app your plan no longer includes fails instead, and the error says so.

Why does a run say "Waiting" for so long?

  • It's at a Wait. It carries on at the time shown under the action.
  • It's waiting for approval. It carries on when a reviewer approves the report in Review. To stop waiting after a while, set Give up after (hours, 0 = never) on the Wait for approval action.

Why does an app action keep failing?

The most common cause is a connection that stopped working. OneForm emails your alert list when a connected app needs reconnecting. Reconnect it on Integrations, then click Try again from where it stopped.
