There are two ways to email a form to a client: paste the link into an email you write yourself, or ask OneForm to send a branded invite for you. Either way, the form must be published first.
Send the link from your own email
This works on every plan and with any email app.
- Go to Forms and open the form.
- Click the Share tab, then click Copy next to the link.
- Write your email as usual and paste the link into it.
Sending the same form to many clients? Add a client number to the end of each link, like ?client_id=1042. The number
comes back with their answers, so you know who replied even if they use another email address. See
Prefill answers and hidden fields.
Have OneForm send it
OneForm can email the form for you, from your firm's sender, with your logo and a Start button. You ask for it in plain words through an AI agent connected to OneForm, such as Claude or ChatGPT: "Email our new client intake form to jane@example.com."
AI agents depend on your plan, and sending a form takes an admin or owner.
- Connect your AI tool to OneForm. See Connect AI agents.
- In Settings → AI agents, make sure Agents can act on clients is on. An owner or admin sets this.
- Ask the agent to send the form, and name the person. You can add a short note to show above the link.
- The agent shows you who it will email and what it will say. Confirm to send it.
The client gets an email titled with the form's name and your firm's name, greeting them by first name when you give it.
Good to know
- The invite is one of your client emails. It's called Form invite in Settings → Emails, where you can change its wording or turn it off. See Edit email wording.
- No repeats. The same person gets the same form at most once a day, so an agent asked twice doesn't email them twice.
- Only published forms. OneForm won't send a draft. Publish the form first.
- Developers can do this too. OneForm's API has the same "send a form" request. See the developer docs.
- You're still the sender of record. The invite goes to whoever you name, so double-check the address before you confirm.
Why didn't the client get the invite?
- The form isn't published. The agent says so and sends nothing.
- They already got it today. The once-a-day rule skipped it.
- Their address is blocked. If they unsubscribed from your emails, or an earlier email to them bounced, OneForm doesn't email them again. See Unsubscribes and bounced emails.
- The Form invite email is off. Turn it back on in Settings → Emails.
