Get alerts for hot leads

Get an email the moment someone's lead score reaches Hot, or start a workflow that calls, tags or follows up with them.

When someone's lead score reaches Hot, OneForm can tell your team right away and start a workflow for them. Both happen once per person, the first time they turn Hot.

The Hot-lead email

OneForm emails your team when a lead becomes Hot, with their score and the reasons for it, and a link to open them on the Leads page. It's on unless you turn it off, and it also shows in the bell at the top of OneForm.

To choose who gets it:

  1. Go to Settings → Emails.
  2. Under Who gets team emails, in Alert list, type the addresses that should get team alerts, separated by commas.
  3. Click Save.

If the Alert list is empty, alerts go to your review team, then to your contact email. To turn the email off, find Lead became Hot on the same page and switch it off. See Emails OneForm sends for you.

Start a workflow when a lead turns Hot

A workflow can act on a Hot lead for you: send them to your CRM, post in your team's chat, or email them an offer to book a call.

  1. Go to Workflows and start a new workflow for a form.
  2. Pick Lead becomes Hot as the trigger.
  3. Add the steps you want, such as Send the lead to HubSpot or Send an email.
  4. Click Turn on.

The workflow belongs to a form. When someone turns Hot, the workflows of every form they filled in can start, each with their latest answers to that form. Custom workflows depend on your plan. See Workflow triggers.

When OneForm checks

A score can only go up when something happens, so OneForm checks then:

  • when they submit a form,
  • when they open one of your emails,
  • when they click a link in one.

If you change your scoring and more people are now Hot, their "Lead becomes Hot" workflows start straight away. Their Hot-lead emails wait until their next activity, so a change doesn't flood your inbox.

Good to know

  • Once per person. Staying Hot, or dropping to Warm and turning Hot again later, doesn't repeat the email or the workflow.
  • Your thresholds decide. Hot starts where you set Hot from in Settings. See Set up lead scoring.

Why didn't I get a Hot-lead email?

  • Their score isn't Hot yet. Open them on the Leads page to see their score and what it's made of.
  • They were already Hot. The email goes once per person.
  • The email is off, or goes to someone else. Check Lead became Hot and the Alert list in Settings → Emails.
  • Nothing has happened since you changed the scoring. The email waits for their next submission, open or click.
