Normally every report waits for a person to approve it. For a form you trust, you can let reports go out as soon as OneFormAI writes them. OneForm still holds back any report that a person should look at first.
Nobody checks these reports before clients read them. OneFormAI can occasionally misread an answer or get something wrong, and the report goes out under your firm's name. Test the instructions on several real responses first.
Turn on automatic sending
- Open the form and click the Report tab.
- Under How reports go out, click Send automatically.
- Read the warning and tick I understand, send reports automatically.
- Click Turn on automatic sending.
The step then says Reports go out automatically, with the date you turned it on. To go back, click Review before sending.
What happens when a report goes out on its own
- The client gets the report email with the PDF, as if a reviewer had sent it.
- They don't get the "we've received your answers" email, since the report itself has arrived.
- Your review team gets a Sent automatically email instead of Draft ready for review.
- In Review, the report is under Sent, and its OneFormAI draft tab says Sent automatically, without review.
When OneForm still holds a report
A report stays in Review with a note starting "Held for review instead of sending automatically" when:
- OneFormAI didn't write it. For example, your OneAI Tokens ran out, the AI call failed, or the client said no to AI processing. The draft is then only a summary of the answers. Documents with Write it with OneFormAI turned off always stay in Review.
- There's no email address to send it to.
- Automatic sending isn't on your plan any more, for example after a downgrade.
- Emails to the address bounced before or were marked as spam.
- The draft mentions contact details that aren't yours, such as a link, email address or phone number that isn't your firm's. The client's own email address is fine.
- Your firm's daily limit for client emails is used up.
- The address already got several emails from you today.
- OneForm's bot check couldn't confirm a person sent the form.
The last three don't apply to a report the client has paid for: the payment shows a real person asked for it.
Held reports go through your team's usual Draft ready for review email, which shows the reason. Approve and send them as normal.
Good to know
- Only first drafts go out automatically. A report you re-draft waits for review.
- Paid reports go out once they're paid for, not when the draft is ready.
- The setting is per form. Other forms keep waiting for review.
- If an automatic send fails, your alert list gets a Report not sent email so you can send it by hand.
Why can't I choose Send automatically?
Automatic sending depends on your plan. The How reports go out step shows what's needed to unlock it. See Plans explained.
Why did a report wait in Review even though automatic sending is on?
Open the report and click the OneFormAI draft tab. The note there gives the reason from the list above. Check the report, then send it yourself.
