How voice forms work

What your clients see and hear in a voice form, how it handles unclear or skipped answers, switching to typing, and what's kept.

In a voice form, OneFormAI talks with your client like a friendly assistant on a call. It asks your questions aloud, listens to the answers, and fills in the form. Here's what happens on the client's side.

The conversation

  1. The start screen shows your headline, a glowing orb and Start talking. Under it, clients read "Your voice isn't recorded or kept. Only your answers are saved."
  2. The browser asks for the microphone the first time. Clients tap Allow.
  3. OneFormAI asks each question aloud, with the words on screen, and listens. Clients just talk. The screen says Speaking…, Listening… or Thinking… so they know whose turn it is.
  4. One answer can cover several questions. If a client says "I'm Maya, I run a bakery with six staff", OneFormAI fills in all three and skips ahead. You can turn this off in the form's Settings tab, under One reply can answer several questions.
  5. Emails and phone numbers are read back so the client can confirm or correct them.
  6. When every needed question is answered, OneFormAI says goodbye and sends the answers. The client sees your closing screen.

During the conversation, clients can open Your answers to see what's answered, what's Still to cover and what they skipped.

Typing instead

Clients can switch at any time:

  • Prefer to type? on the start screen opens the typed form.
  • Type a reply… lets them type one answer and keep the conversation going, handy in a quiet office.
  • Use the form instead, under Your answers, switches to the typed form.
  • If they say nothing twice in a row, the conversation pauses: Keep talking picks it up again, and Finish in the form carries on in the typed form with the answers so far.

On forms set to Their choice, the typed form opens first with an Answer with voice button.

Unclear or skipped answers

  • If OneFormAI can't get a usable answer after a few tries, it says "No problem, let's move on." That question is left blank.
  • Optional questions can be skipped.
  • A response with questions left blank this way shows a Partial chip on the Responses page. Hover over it to see how many questions were skipped.
  • Very long conversations stop and offer the typed form, with the answers so far kept.

Privacy

Nothing a client says is recorded or stored as audio. OneForm keeps only the answers, the same as a typed form. The conversation's words are shown on screen as text while it runs.

Good to know

Why did my client get the typed form instead?

  • The browser blocked the microphone. The form says "Microphone access was blocked. You can type your answers instead." Clients can allow it in their browser's site settings and reload.
  • Voice forms aren't on your plan anymore, so clients get the typed form.
  • OneFormAI wasn't available, so the conversation stopped and offered the typed form, with the answers so far.
  • They didn't agree to the use of AI. If the form asks for consent under the Taxpayer Privacy Notice, clients who don't agree to AI continue in the typed form. See Taxpayer privacy notice and consent.
