Connect Google Chat

Post a message to a Google Chat space for each new submission or report, with the key answers and a review link.

Google Chat posts new submissions and reports to a space your team already uses. Each message has the key answers and a link to review the report.

Before you start

You need a Google Workspace account. Personal Gmail accounts can't use Google Chat with OneForm. Messages post as the person who connected, in spaces they're already in, so there's nothing to install in the space.

Connect Google Chat

The Google Chat panel on the Integrations page

  1. Go to Integrations. The Google Chat panel opens.
  2. Click Connect Google.
  3. Choose your Workspace account and allow the Chat permissions Google shows.
  4. Back in OneForm, the account's panel opens. (Later, click Manage on the Google card.)
  5. Under Post to this space by default, choose a space.
  6. Click Save and send a test message to check it, or Save.

If your Google account is already connected for something else, click Allow next to Chat on its card instead of steps 2 and 3.

Post a message from a workflow

  1. Open Workflows and open the workflow you want.
  2. Click + (Add an action) and choose Google Chat message.
  3. Under Google account, choose the account, then pick the Space. It starts with your default space.
  4. Write the Message. Use + Insert answer to add the client's name or any answer.
  5. Turn List the answers and Add a “Review the report” button on or off.
  6. Click Test it, then Turn on (or Save and turn on).

What OneForm can do in Chat

OneForm can see the list of spaces you're in and post messages to them. It can't read messages. The access is stored encrypted.

Disconnect Google Chat

On the Integrations page, click Manage on the Google card, then Disconnect. This removes the whole Google account, so Sheets, Drive and Calendar stop working for it too. OneForm also gives up its access in your Google account, unless another OneForm firm still uses that account.

Why don't I see my space?

OneForm only lists spaces the connected person is in. Join the space in Google Chat, then click Refresh next to Space.

Why does Google Chat say I need a Workspace account?

The connected account is a personal Gmail account, which can't post to Chat spaces this way. Connect your Google Workspace account instead.
