Connect OneDrive

Save every report PDF into a OneDrive folder, with a sub-folder per client if you like, or send finished reports in one go.

OneDrive keeps a copy of every report PDF with the rest of your client files. Save them automatically from a workflow, or send the finished reports you already have from the Reports page.

Connect OneDrive

The OneDrive panel on the Integrations page

  1. Go to Integrations. The OneDrive panel opens.
  2. Click Connect Microsoft.
  3. Sign in with your Microsoft account and accept the permissions Microsoft shows.
  4. You're back in OneForm, and the Microsoft account is connected.

Work, school and personal Microsoft accounts all work. If your Microsoft account is already connected for something else, click Allow next to OneDrive & Excel on its card instead.

Save each report from a workflow

  1. Open Workflows and open the workflow you want.
  2. Click + (Add an action) and choose Save the PDF to OneDrive. To save the approved version, put it after Wait for approval.
  3. Under Microsoft account, choose the account.
  4. Name the Folder in your OneDrive. OneForm creates it if it doesn't exist.
  5. Leave A sub-folder per client on to file each PDF in a folder named after the client.
  6. Set the File name. Use + Insert answer to add the report title or the client's name. OneForm adds .pdf.
  7. Click Test it, then Turn on (or Save and turn on).

Send the reports you already have

Owners and admins can copy finished reports to OneDrive from the Reports page, once a Microsoft account has OneDrive allowed.

  1. Go to Reports → All reports. Filter by form or status if you only want some.
  2. Click Send All Reports to OneDrive. To send just one, open its menu and choose Send to OneDrive.
  3. Check what's being sent and click Send (for example Send 12 reports).

They're filed as OneForm reports › form name › client name. Only approved, scheduled and sent reports go, since a draft can still change. Reports already in OneDrive are skipped, so nothing is copied twice.

What OneForm can do

The OneDrive & Excel permission lets OneForm create folders, save PDFs and update workbooks in your OneDrive. The same permission covers Excel. The access is stored encrypted.

Disconnect OneDrive

On the Integrations page, click Manage on the Microsoft 365 card, then Disconnect. This removes the whole Microsoft account, so Excel, Outlook, Outlook Calendar and Teams stop working for it too. To also remove OneForm from your Microsoft account, go to myapps.microsoft.com. The PDFs stay in OneDrive.

Why did saving fail?

  • A file, not a folder, already has the folder's name in OneDrive. Rename that file or choose another folder name.
  • The form has no report. Save the PDF to OneDrive skips submissions without one.
  • Microsoft access was removed or expired. The Microsoft 365 card moves to Needs attention; click Reconnect.
